Marketing Coordinator

Location: New York, NY

Job Type: Full-Time

Salary Range: $65,000-70,000

Position Overview:

We are seeking a motivated and detail-oriented Marketing Coordinator to support in the execution of marketing campaigns and initiatives across the company in both our cafés and e-commerce. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for marketing. 

Key Responsibilities:

  • Assist in the development and implementation of marketing strategies and campaigns.
  • Coordinate marketing projects from inception to completion, ensuring timelines and budgets are adhered to.
  • Manage social media accounts, creating and scheduling content to engage our audience. Respond to DM’s and comments in a timely manner. 
  • Support the creation of marketing materials, including cafe assets, email newsletters, and digital content.
  • Cafe location specific marketing – implement targeted tactics to improve new and existing cafe sales 
  • Support with partnerships/collaborations i.e. cafe drink collabs with brands, influencers, etc.
  • Support with e-commerce marketing initiatives, including email and paid advertising.
  • Monitor and report on the effectiveness of marketing campaigns, using analytics to track success. Assist in creating campaign recaps.
  • Assist in organizing brand activations + events in cafes or pop-up events.
  • Collaborate with cross-functional teams to align marketing efforts with company goals.
  • Maintain an organized database of marketing assets and materials.
  • Conduct market research and analyze trends to inform marketing efforts.
  • Opportunity to build an influencer/ambassador program for cafes and/or e-commerce.

Qualifications:

  • Bachelor’s degree in Marketing, Business, Communications, or a related field.
  • 1-3 years of experience in a marketing or communications role.
  • Strong written and verbal communication skills.
  • Proficiency in marketing software and tools (e.g., social media platforms, email platforms).
  • Creative mindset with attention to detail.
  • Ability to manage multiple projects and meet deadlines.
  • Strong analytical skills and experience with data-driven decision-making.

Preferred Skills:

  • Time management - you can prioritize tasks, manage your schedule, and work with structural timelines and project planners.
  • Flexible - you know things can change and you’re happy to jump in quickly on your side to make any updates needed to support the overall business.
  • Brand work experience required (experience in marketing food/bev/cafe or wellness products is a plus).
  • Self starter - find new ways the business can grow through marketing efforts and present ideas to work on.
  • Previous experience in a fast-paced, remote startup environment is preferred.
  • Familiarity with graphic design tools (e.g., Canva, Figma, or Adobe Creative Suite) is a plus.
  • Experience with email marketing platforms (e.g., Klaviyo).
  • Experience with Shopify and/or Square POS is a plus.
  • Experience with event management is a plus.
  • Passion for plant-based food/bev is a plus.

Director of Retail Operations

At Matchaful, we are dedicated to transforming the matcha experience by serving premium, high-quality matcha drinks and products in a welcoming and vibrant café environment. Our mission is to create a memorable experience for every customer, driven by our commitment to quality, sustainability, and exceptional service.

Position Overview:

The Director of Retail Operations has the responsibility of overseeing all senior café leadership and the overall performance of NYC Matchaful cafés. This role requires a passion for matcha, exceptional leadership skills, and a strong focus on retail growth and the highest standards of quality and customer satisfaction. The Director of Retail Operations will lead a team of dedicated managers and retail staff across 8 Matchaful locations to drive the growth and success of our café business, setting a standard of excellence that will allow Matchaful to expand further across NYC and in other markets. 

The Director of Retail Operations will report directly to the CEO. The Director of Retail Operations will directly manage the Training Manager, Operations Manager, Commissary Manager, and all NYC Store Leads. 

Key Responsibilities:

Operational Excellence:

  • Oversee all aspects of café operations, including but not limited to staffing, inventory management, quality assurance, SOPs, and financial performance.
  • Ensure adherence to Matchaful’s operational standards and procedures, including food safety, cleanliness, and quality control.
  • Monitor and analyze sales data, customer feedback, and operational metrics to identify opportunities for improvement and growth.
  • Conduct audits and P&L evaluations of each restaurant, identifying potential and existing issues within unit operations.
  • Execute and assist in developing strategies for new store openings, supporting brand growth through successful new store launches 
  • Require the ability to present and explain the business at an executive level to investors, VIPs, and senior leadership
  • Develop a regional strategy plan that includes frequent reporting on sales, productivity, operational performance, labor, budget analysis, and customer satisfaction
  • Possess a growth mindset, being adaptable to change and effectively managing change processes.

Financial Management:

  • Prepare and manage the café’s budget, including forecasting, cost control, and financial reporting.
  • Optimize operational efficiency to achieve financial targets and profitability.
  • Handle cash management and ensure accurate financial transactions and records.

Compliance and Safety:

  • Ensure compliance with health, safety, and labor regulations. Ensure all NYC stores get or maintain A restaurant grades.
  • Conduct regular re-training and inspections to maintain a clean and safe working environment for both staff and customers.
  • Implement and monitor safety protocols and emergency procedures.
  • Maintain relationship with pest control, cleaning companies, maintenance companies, cleaning companies and other service providers

Team Leadership and Development:

  • Manage Matchaful Store Managers, conducting weekly meetings, while fostering a positive, collaborative and productive work environment
  • Lead and grow teams, focusing on development and empowerment of Store Leads and their teams.
  • Assist with interviews and hires for Store Leads, Shift Leads, and Matcharista roles as needed 
  • Help to support Store Leads in filling in scheduling gaps and assisting at the bar when necessary 
  • Creates initiatives to drive team culture and happiness across all locations
  • Inspire Store Leads and their teams to meet their KPI goals, including P&L, waste, labor, and sales goals
  • Conduct regular performance reviews, provide constructive feedback, and support professional development.
  • Lead by example, demonstrating a strong work ethic, exceptional customer service, and a passion for matcha. 
  • Demonstrate ER (Employee Relations) and HR (Human Resources) knowledge, collaborating cross-functionally with high-level communication abilities.
  • Manages and oversees training for new Store Leads and Shift Leads

Customer Experience:

  • Improve Google Ratings across all cafes and ensure new stores launch with high reviews by working with Store Leads to improve service standards and quality of drinks
  • Ensure that every customer receives a memorable and high-quality experience, from the moment they enter the café to their departure.
  • Identify high level customer trends and create and implement solutions for improvement.
  • Coaching and developing Store Leads on guest experience and operations, ensuring an elevated experience 
  • Address and resolve customer concerns or complaints in a timely and professional manner
  • Implement and uphold customer service standards that reflect Matchaful’s commitment to excellence.

Sales and Marketing:

  • Collaborate with marketing team to execute local marketing initiatives and promotions to drive foot traffic and increase sales.
  • Collaborate with the marketing team to implement brand strategies and enhance the café’s visibility and reputation.
  • Help to execute on-site brand partnership events 
  • Monitor market trends and competitor activity to stay informed and competitive.
  • Maintaining positive reputation and digital presence of cafés across Google, Yelp, and other rating services 

Qualifications:

  • Bachelor’s degree in Business Administration, Hospitality Management, or a related field preferred.
  • NYC Food Protection Certificate
  • 5-10 years of experience in retail and/or F&B industry 
  • 3-5 years of multi-unit or similar leadership experience in fast-casual or full-service restaurant settings
  • Experience with POS systems, inventory management software, restaurant management software, and basic financial reporting tools
  • Experience managing P&Ls and and consistently achieving KPI targets
  • Strong appreciation of matcha and Japanese tea culture is highly desirable
  • Excellent leadership, communication, and interpersonal skills
  • Ability to manage multiple tasks and priorities in a fast-paced, dynamic environment
  • Demonstrated ability in financial management and analysis to drive profitability
  • Commitment to delivering exceptional customer service and maintaining high-quality standards
  • Strong decision-making and conflict resolution skills to navigate challenges effectively

Salary $80,000-$95,000 depending on experience

STORE LEAD

Matchaful Cafés, NYC

As Matchaful’s Store Lead, you'll be responsible for leading the daily operations, people, and initiatives at our Prince St. store in Soho. You will help to ensure the highest level of quality for our incredible matcha-based wellness drinks and food, maintaining a pristine (and aesthetically amazing) environment, and upholding the highest level of service—all while forging unique connections with our staff and our customers.

 

Salary Range $62,400 - $65,400

Core Responsibilities:

  • Lead matcharista team on store priorities and directives
  • Attend biweekly manager meeting to review priorities and sales goals
  • Lead initiatives to maintain a happy and professional workplace environment and make sure staff is complying with company dress code and etiquette policies
  • Develop and continue skill set of matcharistas and communicate performance updates on a weekly basis to General Manager
  • Make sure that staff is executing menu changes or seasonal menu items properly
  • Communicate written warning to the matcharista
  • Regularly communicate with the store team via internal chat channels
  • Manage café scheduling on Square Teams
  • Make sure all shifts are covered - when baristas are sick, no-shows, etc.
  • Ensure café is always prepared for a health inspection, lead the café to maintain an A inspection grade
  • Streamline drink-making, flow, etc.
  • Conduct daily quality checks on all drinks/products
  • Collect feedback from both staff and customers and figure out how to improve overall experience
  • Monitor employee time cards in Square
  • Lead organization of basement storage areas
  • Conduct weekly and monthly inventory reports in Marketman, ensure that Square is accurately reported
  • Order milk and some other items based on Square sales reports
  • Ensure all concentrates are sufficiently prepared at all times
  • Monitor dates of all fresh concentrates, milks, and produce, to ensure nothing is used past its recommended date - Make sure everything is labeled.
  • Enforce record keeping of all food waste
  • Set daily (and sometimes hourly) sales goals for employees, and inspire team to meet them
  • Keep retail stocked on display shelves ​at all times—​maintain a beautiful storefront
  • Delegate tasks to staff during slow periods

PREP CHEF

Matchaful Culinary Lab, Clinton Hill, Brooklyn NYC

$18-22/hr

Matchaful offers sustainable Japanese matcha and active botanical nutrition. We currently have (6) cafe locations in NYC, and we’re expanding this summer into Brooklyn! Our small team is passionate about leading the plant-based matcha + food movement in a sustainable, elevated and respectable way.

The Matchaful Culinary Lab in Clinton Hill will be the largest space we've been in yet, and it will feature our first dedicated culinary production facility as well as our signature Matchaful Café. At Matchaful, we make all of our concentrates for our creative lattes- such as the beloved ginger zing, secret garden, and cacao dream - in our very own kitchen. Over the past few years, we’ve also expanded our plant-based, gluten-free offerings to include a yuzu donut, vegan soft serve, matcha sunflower butter oats, and matcha sesame noodles…to name a few. Matchaful’s Grain-Free Granola that is now sold in grocery stores was actually developed in our café kitchen. The Matchaful Culinary Lab will be a space for innovation, experimentation, and nourishment! We can’t wait to give our loyal community a window into what we’re doing behind the scenes. 

As Matchaful’s Prep Chef, you will be responsible for the preparation of our in-house food offerings, cleaning and organizing the space, and working directly under our Head Chef and Culinary Manager.

About the Prep Chef role: 

  • 3-4 days/week minimum commitment
  • Prepare food to meet orders for all cafés daily 
  • Build prep kits for kitchen and set up production for success 
  • Communicate on Slack with managers about day to day tasks 
  • Follow best kitchen practices and follow all kitchen protocols 
  • Accurately label and store food items
  • Maintain ingredient stocks
  • Wash dishes and conduct daily cleaning tasks 
  • Must be able to commit to working early hours 
  • Must be willing to obtain a Food Protection Certificate if not already certified 
  • Record all production events in production log and kitchen waste log 
  • Assist with End of Month inventory accounts as needed

Manager of Training & Development

Matchaful is looking for a talented Training & Development Manager to help us as we expand! We are looking for someone with strong training experience in the hospitality industry, ideally someone who has trained for a multi-store company. As Matchaful continues to expand our cafes, we are looking for this person to help us streamline our onboarding and training to improve consistency and customer service across all of our cafes.

This role will be based in NYC and will support our 7 Matchaful cafes. This role reports to the GM. Our Manager of Training and Development is responsible for managing and training our new cafe hires, owning all onboarding materials, and providing an inclusive and supportive working environment.

Role Responsibilities (but not limited to the following):

  • Manages the entire training process for all new hires across all locations at Matchaful
  • Owns and maintain all training documents across the company, including Employee Handbook
  • Works with each new trainee very closely to ensure that they are properly and consistently trained on all information during their onboarding and training
  • Creates and owns training schedule for trainee in Square app
  • Goes through the training checklist with precision and accuracy. Uses location SOPs, jotform, Welcome Guide, recipe book, and other materials to make sure all information and processes are clearly demonstrated and learned
  • Creates training schedule for new hires to ensure they are properly trained before starting; Checking in after training is over to see if they retained the information on drinks/closings etc.
  • Works closely with each Matcharista to ensure onboarding has been successful and candidates are ready to take on shifts at their location. Provides a quiz at the end of training to ensure they’re ready to be at a location.
  • Works closely with Store Leads and Shift Leads to ensure that trainee is trained on their particular location
  • Providing ongoing feedback to GM and CEO about how trainees are doing in the first 30 days and how they are doing at their location
  • Sets strong example for Matcharistas across all locations
